How we handle your information at AscendXHyper

Last Updated: January 15, 2025

We're AscendXHyper, and we take your privacy seriously. This document explains how we collect, use, and protect your personal information when you work with us or visit our website. We've written this in plain language because legal jargon shouldn't get in the way of understanding your rights.

Our event analysis and reporting services require us to handle various types of data. We're committed to transparency about what we do with that information and why we need it. If something here doesn't make sense, reach out. We'd rather clarify now than have you wondering later.

Information We Collect

When you contact us or work with us, we collect different types of information depending on our relationship. Here's what that typically includes:

Client Information

For project work, we need basic contact details and some business context. This means your name, email address, phone number, company name, and the nature of your event. We ask for this because delivering event analysis reports to the wrong person would be problematic for everyone involved.

Event Data

The core of what we do involves analyzing event information you provide. This might include attendee metrics, engagement statistics, scheduling information, venue details, and whatever else is relevant to your specific event. We treat this data with the same care as your personal information because it's often just as sensitive.

Website Usage Information

Like most websites, ours collects some technical data automatically. We're talking about IP addresses, browser types, device information, and which pages you visit. This helps us keep the site running smoothly and understand what content actually matters to visitors.

We don't buy, rent, or trade data from third parties. Everything we know about you came directly from your interactions with us.

How We Use Your Information

We use the information we collect for specific purposes related to our business relationship with you. No surprises, no hidden agendas.

  • Delivering the event analysis and reporting services you've requested
  • Communicating about projects, deadlines, and deliverables
  • Improving our analytical methods and service offerings
  • Maintaining security and preventing fraudulent activity
  • Complying with legal requirements under Taiwan regulations
  • Sending occasional updates about our services if you've agreed to receive them

We analyze event data to generate insights and reports. That's literally our job. But we don't use your specific event information for purposes unrelated to your project without explicit permission. Your competitor's event analysis won't benefit from your data, and vice versa.

Marketing Communications

If you've signed up for our updates or worked with us before, we might send occasional emails about new capabilities or relevant industry insights. These aren't daily spam blasts. We typically send something once a month at most, and you can unsubscribe anytime.

Data Storage and Security

Your data lives on secure servers with encrypted connections. We use industry-standard security measures because a data breach would be catastrophic for our business and your trust.

Technical Safeguards

We employ encryption for data transmission and storage, secure authentication protocols for team access, regular security audits and updates, and backup systems to prevent data loss. Our team members only access client information when it's necessary for their specific role in your project.

Physical Security

Our Taipei office at 3F, No. 189, Section 2, Chang'an E Road has controlled access. Client files and devices are stored securely. We don't leave sensitive documents on desks overnight or carry unencrypted devices with client data around casually.

No security system is completely foolproof. While we take extensive precautions, we can't guarantee absolute security any more than a bank can promise it will never be robbed. What we can promise is that we take this seriously and will notify you promptly if any security incident affects your data.

Data Retention

We keep your information for as long as we need it to fulfill our services and legal obligations. For active clients, that means throughout our working relationship and typically for three years afterward. Taiwan regulations require us to maintain certain business records for specific periods, which affects how long we hold onto some data.

Event analysis data gets anonymized or deleted after project completion unless you've agreed to let us retain it for comparative analysis purposes. Even then, we strip out identifying information wherever possible.

Sharing and Disclosure

We don't sell your data. Period. But there are limited situations where we share information with others:

  1. Service Providers: Sometimes we work with specialized vendors for things like data storage or technical infrastructure. These partners are contractually bound to protect your information and can only use it for the specific services they provide to us.
  2. Legal Requirements: If Taiwan authorities issue a valid legal request for information, we'll comply with applicable law. We'll notify you about such requests unless legally prohibited from doing so.
  3. Business Transfers: If AscendXHyper were acquired or merged with another company, your information would transfer as part of that transaction. Any acquiring company would be bound by the commitments in this policy.
  4. With Your Consent: If you explicitly ask us to share information with someone, we will. This comes up when clients want us to coordinate directly with their vendors or stakeholders.

We won't share your event data with other clients or use it in public case studies without your explicit written permission. Some clients are happy to be featured in our portfolio work. Others prefer confidentiality. Both approaches are fine with us.

Your Rights Under Taiwan Law

Taiwan's Personal Data Protection Act gives you specific rights regarding your information. Here's what you can do and how to do it:

Your Right What This Means How to Exercise It
Access You can request a copy of the personal data we hold about you Email info@ascendxhyper.com with your request
Correction If information we have is wrong or outdated, you can ask us to fix it Contact us with the correct information
Deletion Request that we delete your personal information from our systems Submit a deletion request via email or phone
Processing Restriction Ask us to temporarily stop using your data while we verify accuracy or assess your objection Explain your concern in a written request
Objection Object to how we're using your information for legitimate interests Tell us why you object to current usage

We'll respond to rights requests within 15 business days. If we need more time or have concerns about a request, we'll explain why. Some requests might require identity verification before we proceed, which is standard practice to prevent unauthorized access to someone else's information.

Limitations on Rights

There are situations where we might not be able to fully honor a request. For example, if Taiwan law requires us to retain certain records, we can't delete that data even if you ask. If fulfilling a deletion request would make it impossible to complete work you've contracted us for, we'll need to discuss alternatives.

International Data Transfers

Our primary operations are in Taiwan, but some of our technical infrastructure involves servers located in other countries. When we transfer data internationally, we ensure appropriate safeguards are in place.

We use service providers that maintain data centers in regions with strong privacy protections. Where we transfer data to countries without equivalent privacy regulations, we implement additional contractual protections and technical measures.

If you're particularly concerned about where your data physically resides, let us know. In some cases, we can make arrangements to keep specific client data within Taiwan borders, though this might affect service delivery timelines or costs.

Children's Privacy

Our services target business clients, not children. We don't knowingly collect information from anyone under 16 years old. If we discover we've inadvertently gathered data from a child, we'll delete it promptly.

Some events we analyze might include data about younger attendees. In those cases, we expect our clients to have obtained appropriate parental consent before sharing that information with us. We handle such data with extra care.

Cookies and Tracking Technologies

Our website uses cookies, which are small files stored on your device that help the site function properly. We use them for essential functions like keeping you logged in and remembering your preferences.

Types of Cookies We Use

  • Essential cookies that make the website work correctly
  • Analytics cookies that help us understand how visitors use our site
  • Preference cookies that remember your settings

You can control cookie settings through your browser. Blocking all cookies might affect how our website functions, but you'll still be able to access most content.

Changes to This Policy

We update this privacy policy periodically to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify active clients via email and post the updated policy on our website with a new effective date.

We recommend reviewing this policy occasionally if you work with us regularly. The current version always represents how we're actually handling data right now, not how we handled it years ago when you first became a client.

If you disagree with changes we've made, you have the right to discontinue using our services. For ongoing projects, we'll work with you to complete contracted work under the previous terms if the changes are substantial.

Third-Party Links

Our website occasionally links to external resources or partner sites. We're not responsible for the privacy practices of those other sites. When you click a link that takes you elsewhere, their privacy policies apply, not ours.

We try to link only to reputable organizations, but we can't control or monitor what they do with your information if you choose to interact with them.

Questions About Your Privacy?

If something in this policy is unclear, or you want to exercise your rights, or you just have questions about how we handle data, get in touch. We'd rather answer questions upfront than deal with confusion later.
